Management Assistant (M/F)
We are looking for a master multi-tasker Management Assistant to support our executive team. Experience as a management or administration assistant is expected. Most important, Management Assistants should have a genuine desire to meet the needs of others and be fast at problem solving. The position is a full-time job.
Who we are:
LuxProvide is the national HPC organization in charge of implementing supercomputing facilities and providing HPC, HPDA & AI competencies and services.
Your role consists in:
- Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies
- Providing real-time scheduling support by managing diaries, booking appointments, organizing meetings, reminding the executive team of important to do’s and deadlines and preventing conflicts
- Making travel arrangements, such as flights, cars, and making hotel and restaurant reservations
- Answering phone calls and routing callers to the appropriate party or taking messages
- Handling basic bookkeeping tasks such as collating and filing expenses
- Accurately recording minutes from meetings
- Using various software, including word processing, spreadsheets, databases and presentation software to generate reports or to create presentations
- Filing and retrieving corporate records, documents and reports
- Greet and assist visitors and decide if they should be able to meet with executives
- Maintain polite and professional communication via phone, e-mail and mail
- Opening, sorting, and distributing faxes, emails and other correspondence
- Provide general administrative and organizational support for projects
- Contribute to the organization of events and conferences
Profile:
- Graduate degree in a related field
- Functional and technical knowledge to do the job at high level accomplishment
- Able to organize a daily workload by priorities
- Action oriented, proactive, and flexible in dealing with simultaneous tasks
- Drive for results and able to meet deadlines
- Demonstrate consistently trustworthy, reliable, and discreet behavior, in particular in dealing confidential information
- Multilingual in French and English and demonstrate a high professional level in verbal and written communications skills in these languages. Knowledge of German and Luxembourgish is an asset
- In depth understanding of MS Office suite and the ability to learn company-specific software if required
- Experience in prior administrative or office assistant positions is a benefit
